JOB TITLE: Executive Assistant
Maternity Leave Contract - July 2019 - September 2020
Hours: Mon to Fri 8:30 am to 4:30 pm or 9 am to 5 pm
Wage: $19-20/hr
Dress: Business Casual
REPORTS TO: CEO
JOB PURPOSE: To provide administrative support, ensuring the office of the CEO operates in an effective and well organized manner, by providing a range of executive and support services to the CEO. To manage highly confidential and sensitive information and follow up on key matters.
Responsibilities:
- To provide executive assistance to CEO along with general coordination of assignments and activities.
- Assist Executive carrying out his/her duties; confidential business matters
- create, maintain and manage a variety of information related to CEO's function
- Assist in managing and monitoring overall expenses
- Assure adequate communication and data management for the department
- Record minutes at meetings as requested
- Maintain and monitor calendar and bookings
Requirements:
- Minimum 5 years experience as Executive Assistant
- Experience working with a Board an asset
- Strong oral, written and interpersonal communication skills
- Plan, schedule and prioritize meetings
- Enhance the CEO's productivity by flagging high priority items
- Act as gatekeeper
- Attention to detail
- Strong time management skills
- Self motivation and ability to manage time and work unsupervised
- Proficiency in MS Office and ability to learn and use new technology – experience with or ability to learn database management and software essential· Microsoft Excel and Outlook essential
