We are seeking a high-energy, organized, and dependable Accounting & Office Administrator to support a busy accounting office serving multiple clients. This is a great opportunity for someone who enjoys variety, takes initiative, communicates well, and is willing to jump in wherever needed.
The successful candidate will be comfortable working independently, managing multiple priorities and deadlines, and handling confidential financial information with accuracy and professionalism. Strong experience with QuickBooks Online (QBO) and QuickBooks Desktop (QBD) is required.
Key Responsibilities
Accounting & Bookkeeping Support
- Process and record vendor bills and payments for multiple clients.
- Record customer deposits and other receipts accurately and on time.
- Enter and maintain transactions in QuickBooks Online and QuickBooks Desktop.
- Assist with accounts payable and accounts receivable.
- Review transactions and supporting documentation for accuracy and completeness.
- Maintain organized electronic records for invoices, receipts, payments, and deposits.
- Assist with bank and credit card reconciliations as required.
- Follow up on missing invoices, receipts, approvals, and other accounting information.
- Assist with month-end and year-end information requests.
Client Communication
- Monitor and respond to client emails in a timely and professional manner.
- Communicate with clients regarding invoices, payments, deposits, and missing documentation.
- Proactively follow up on outstanding information.
- Maintain positive and professional client relationships.
- Escalate accounting questions or unusual transactions when required.
File & Office Management
- Maintain accurate and organized electronic client files.
- Ensure documents are properly named, filed, and easily retrievable.
- Manage incoming documents and direct them to the appropriate client file or team member.
- Assist with general office administration and document preparation.
- Help maintain calendars, deadlines, and recurring accounting requirements.
- Provide administrative support as needed to keep the office running efficiently.
Qualifications
- Previous experience in bookkeeping, accounting administration, or a professional office environment.
- Strong working knowledge of QuickBooks Online (QBO).
- Experience with QuickBooks Desktop (QBD).
- Good understanding of basic bookkeeping, AP, AR, and bank transactions.
- Strong Microsoft Office skills, particularly Excel and Outlook.
- Excellent written and verbal communication skills.
- Strong organizational and file-management skills.
- High level of accuracy and attention to detail.
- Comfortable handling confidential financial information.
