Position Overview

Staffmax is seeking an Administrative Assistant for our client located in Winnipeg. The successful candidate will support day-to-day office operations, provide administrative assistance to multiple departments, and ensure smooth coordination across the organization. If you perform well in this role, there is potential for it to transition into a permanent position.


Key Responsibilities

General Office Administration

  • Manage reception duties and general office operations

  • Maintain office systems, mail, couriers, and recycling

  • Manage training and boardroom bookings

  • Act as primary IT contact for troubleshooting and coordination of new initiatives

  • Administer communication resources, including mailing lists and databases

  • Organize internal meetings, staff events, and social activities

  • Handle sales of merchandise and maintain office inventory

  • Prepare agendas and meeting minutes

  • Process expense reports and assist with other administrative tasks as required

Operations Support

  • Maintain and update company databases and online information

  • Assist with organizing events and provide onsite support when required

  • Prepare meeting notices, agendas, and minutes for Events and Membership

  • Prepare and process invoices and receipts related to events

Finance & HR Support

  • Handle sales of publications, signage, merchandise, and documents (in-person and online)

  • Prepare invoices, receipts, and credit card transactions

  • Maintain petty cash and perform data entry in QuickBooks

  • Process expense postings and other financial documentation

Policy & Communications Assistance

  • Maintain newsletter and directory distribution lists

  • Record and update tenders and related databases

  • Assist with formatting and proofreading directory content

  • Prepare and mail communications correspondence

  • Support preparation of the HeavyNews newsletter when required

WORKSAFELY™ Program Assistance

  • Prepare contractor COR™ promotional materials and signage sales

  • Order and organize training materials

  • Support setup of training sessions (including refreshments and materials)

  • Generate certificates of training and update related databases

  • Process training registrations and payments through SkillsPass

General Support

  • Provide backup assistance to various departments during peak periods


Qualifications

  • Previous administrative experience in a professional office environment

  • Proficiency in QuickBooks and MS Office Suite (Word, Excel, Outlook)

  • Strong communication and multitasking skills

  • Excellent attention to detail and organizational ability

  • Ability to handle confidential information with professionalism
