Position Summary

The Administrative & Accounts Payable Clerk is responsible for providing day-to-day administrative support while managing accounts payable functions. This role ensures accurate processing of invoices and purchase orders using Bistrack software, along with maintaining effective communication with clients and internal teams.


Key Responsibilities

Accounts Payable

  • Process vendor invoices accurately and in a timely manner using Bistrack
  • Match purchase orders (POs), invoices, and supporting documents
  • Verify invoice accuracy and resolve discrepancies with vendors or internal departments
  • Maintain up-to-date records of all accounts payable transactions
  • Assist with month-end reconciliation and reporting as required

Administrative Support

  • Provide general administrative support to the office and management team
  • Maintain organized electronic and physical filing systems
  • Prepare, review, and update documents, reports, and records as needed

Client & Vendor Communication

  • Communicate with clients, vendors, and internal teams regarding invoices, payments, and purchase orders
  • Respond to inquiries professionally via phone and email
  • Follow up on outstanding invoices, missing documentation, or discrepancies

Systems & Data Entry

  • Use Bistrack software for invoice entry, PO tracking, and account management
  • Ensure data accuracy and maintain system integrity
  • Support continuous improvement of administrative and AP processes

Qualifications

  • Experience in Accounts Payable and/or Administrative roles preferred
  • Familiarity with Bistrack software or similar ERP systems considered an asset
  • Strong attention to detail and accuracy
  • Good communication and customer service skills
  • Ability to manage multiple tasks and meet deadlines
  • Proficient in Microsoft Office (Word, Excel, Outlook)
