Description:

The Administrative Assistant is responsible for assisting with the store’s daily operations, and ensuring a customer’s first impression is a positive one. This role provides support to the owners and sales team– in preparation to meet with clients, during the visit and with the final packaging.

Location: Toronto, ON
Pay Rate: TBD
Term: Temporary employment with the possibility of becoming a permanent role after a three-month probation. 
Days: Tuesday – Saturday (Every Sunday and Monday off)
Time: Tuesday – Friday 10:30am to 6:30pm
           Saturday-  9:30am to 5:30pm


RESPONSIBILITIES AND DUTIES

PEOPLE
• Create and contribute to a positive work environment amongst all store employees
• Work collaboratively with colleagues and clients to ensure a consistent and exceptional customer experience.

OPERATIONS
• Oversee daily, weekly and monthly operational tasks
• Contribute to the seamless operation of the store by anticipating the needs of sales staff and clients
• Contribute to the visual merchandising maintenance 
• Organize, prioritize and execute tasks, with attention to detail and care
• Adhere to security standards to ensure the safety of our customers, co-workers and products 
 
COMMUNICATION
• Answer phone calls and respond to inquiries
• Relays messages and responds efficiently and professionally to clients and colleagues
• Uphold Company's Code of Conduct through respectful communication with both customers and colleagues

SERVICE EXCELLENCE
• Provide customers with personalized service at every touch point – phone, email and in-person
• Greet & welcome clients to the store, in a natural, friendly manner
• Engage in conversation with clients until the sales associate is ready to assist them
• Offer shoppers with a beverage, seating and reading material 
• Offer to clean shoppers’ jewellery.

ADMINISTRATION
• Receive and process transfer requests to and from other stores 
• Prepare outgoing and receive incoming inter-company parcels, following Company policy to minimize risk, loss, theft or errors
• General handling of inventory and administrative tasks
• Data entry of repair job bags 

LEARNING
• Engage in the Jewellery learning platform to stay informed and improve knowledge
• Successfully complete all mandatory training and qualification requirements
• Maintain a high level of product and brand knowledge through continued learning initiatives

SKILLS AND QUALIFICATIONS
To be successful in the role of Administrator, you have/are:
• Proficient in the Microsoft Office suite of programs
• Strong organizational and time management skills 
• Detail oriented 
• Proactive and willing to create a positive experience for others
• Highschool education or higher 

ASSETS
• Administrative experience 
• Basic jewellery knowledge
