We are seeking a detail-oriented and highly organized Administrative Assistant with hands-on experience in Accounts Payable, Payroll processing, and Sage accounting software. The ideal candidate will be responsible for supporting day-to-day financial operations, ensuring timely and accurate processing of invoices and payroll, and providing administrative support to the finance and HR departments.

Hours: 8am to 4:30pm
Accounts Payable:

Process and verify invoices, expense claims, and payment requests

Ensure accurate coding and timely data entry into Sage

Prepare and process vendor payments (EFT, cheques, etc.)

Reconcile vendor statements and resolve discrepancies
-
Maintain accurate AP records and filing systems
Payroll:
-
Collect and review employee timesheets and hours
-
Process bi-weekly or semi-monthly payroll using Sage Payroll
-
Ensure compliance with federal/provincial payroll regulations

Handle payroll deductions, benefits, vacation tracking, and ROEs
-
Maintain employee payroll records and respond to payroll-related inquiries
Administrative Support:

Assist with filing, data entry, correspondence, and document management

Maintain office supplies and support general office operations

Assist with HR onboarding documents and records as needed

Support internal audits or year-end financial procedures
Qualifications:
-
2+ years of experience in accounts payable and payroll administration

Proficiency in Sage 50 / Sage 300 (specify based on your software)

Strong understanding of Canadian payroll legislation

Solid MS Office skills (Excel, Word, Outlook)
