Pre-Hearing:
Prepares and serves notices of hearings to parties and interested persons in accordance with the legislation.
Prepares public hearing notices for website posting.
Coordinates large volume of briefing materials, exhibits, submissions, and documents submitted by parties, legal counsel, authorized representatives, agents, and the public in accordance with the Tribunals’ rules of procedure.
Receives, compiles, and effectively organizes all filed material and public presenter forms for hearing panel members.
Prepares hearing opening and closing remarks for Chair/Acting Chair.
Prepares preliminary hearing (including Municipal Board assessment appeal management pre-hearing) notices and correspondence; receives and organizes cases and any filed material for panel members in advance of the preliminary hearing.

Hearings:                                                                                                                           Attends all contested hearings.
Ensures the hearing room is set up as per the Tribunal’s hearing requirements for the matter (setting up the table, chairs, and other equipment on day of hearing and oversee the registration of all participants.) and resets the hearing room afterwards.
Transcribes the hearing electronically and takes hand-written notes; swears/affirms witnesses, and marks and enters all exhibits as directed by the Acting Chair.

Post-Hearing:                                  
Prepares the initial draft template Order or Report for the hearing panel to complete.
Edits for spelling and formatting the Order or Report.
Prepares documents for issuance of Order or Report.

As reported by them, the qualifications will be:
Post-secondary education / training in paralegal / court / office administration.
Extensive experience providing analytical and administrative support for quasi-judicial hearings in a busy, fast-paced office environment.
Experience reviewing, evaluating, and processing complex documentation/information.
Experience performing data entry as well as generally understanding, preparing, administering, and processing complex documentation.
Excellent written communication skills, including reviewing and proofreading documents, to ensure proper grammar, spelling and formatting; and for the purpose of various correspondence.
Excellent verbal communication skills to communicate clearly and professionally with Tribunal members, management and staff, clients, stakeholders, legal counsel, and the general public.
Excellent organizational and time-management skills to prioritize work to meet strict and sometimes competing deadlines.
Experience working with Microsoft Office Suite (Outlook and Word).
Superior attention to detail to work efficiently with a high degree of quality and accuracy.
Ability to manage confidential and politically sensitive material or situation in an appropriate and professional manner.
