Staffmax is assisting a leading post-secondary institute to find their next Admissions Assistant.

Reporting to the Assistant Registrar, Admissions, the Admissions Assistant plays a vital role in managing the application process for prospective students. This position involves receiving, reviewing, and processing applications and supporting documents, ensuring accuracy and completeness. The Admissions Assistant also offers assistance and guidance to applicants and supports various admissions-related activities.

Key Responsibilities:
  • Process applications and accompanying documents, creating student files and verifying information.
  • Review and validate applicant documents, including English Proficiency tests.
  • Address inquiries from students, applicants, and recruitment agents regarding admissions procedures and requirements.
  • Manage the Admissions Inbox and promptly respond to inquiries via email and phone.
  • Record tuition payments and manage supporting documents.
  • Coordinate with other institutions to obtain necessary transcripts and documents.
  • Generate and distribute Letters of Acceptance to accepted applicants.
  • Update student information in the CAMS Student Information System as needed.
  • Assist with the completion of student document requests and support other admissions-related tasks.
  • Maintain confidentiality of student records in compliance with regulations.
Required Qualifications and Experience:
  • Post-secondary certificate or diploma, preferably in business administration or a related field.
  • Minimum of one year of recent experience in administrative or customer service roles, preferably within a post-secondary Registrar's office.
  • Proficiency in Microsoft Office Suite and other relevant video communication software (e.g., Zoom, Microsoft Teams)
  • Experience in administrative support within a post-secondary institution.
  • Knowledge of post-secondary operations and admissions policies.
  • Familiarity with student information systems or admissions systems.
