Bilingual Disability Management Assistant
Start Date: ASAP
Term: Up to December 31, 2026 (with possibility of extension)
Shift: 08:30 AM – 05:00 PM
Wage: $25/hour
Position Summary
This role provides critical support to the Disability Management function and branch partners.
The successful candidate will demonstrate strong judgment and exceptional attention to detail when establishing and updating both occupational and non-occupational disability claims. They will ensure timely and accurate communication with all relevant stakeholders. Given the sensitivity of the role, a high level of precision, confidentiality, privacy, and compliance is essential at all times.
Key Responsibilities
Absence Reporting & Analysis
- Extract, analyze, and action absence reports to determine case requirements and updates
- Review employee absence history to assess disability eligibility
- Monitor reports, identify discrepancies, and implement corrective actions
System Expertise & Support
- Act as a Subject Matter Expert and super user for the Disability Management system
- Serve as escalation point for attendance and disability-related inquiries
- Provide training, guidance, and system support to users
Data & Reporting
- Prepare and deliver statistical and analytical reports as required
- Design and produce professional reports and documents with strong formatting
Process Improvement & Documentation
- Recommend and support workflow and process improvements
- Maintain accurate documentation of all business processes
Administrative & Operational Support
- Establish and maintain disability case files and update records as required
- Manage notifications and communications with internal and external stakeholders
- Oversee file closures upon completion of case management
- Handle mail intake, scanning, and distribution
- Monitor printers and coordinate maintenance when required
- Maintain office supplies and ensure a safe and organized work environment
Communication & Stakeholder Management
- Manage multiple priorities in a fast-paced environment with tight deadlines
- Maintain Disability Management communications, including email inbox and voicemail
- Liaise with branches, insurers, and internal/external stakeholders
- Ensure timely and accurate employee communications in line with policy requirements
Other Duties
- Perform additional administrative duties as assigned by the Manager, Disability Management Programs & Administration
Qualifications
Education & Experience
- College diploma with a minimum of 3+ years of relevant experience
- Strong communication skills (English required; French is a strong asset)
- Excellent analytical skills with strong attention to detail
- Ability to maintain strict confidentiality at all times
- Proven ability to work under pressure and manage shifting priorities
- Intermediate computer skills, including Microsoft Word, Excel, keyboarding, and data entry
- Experience with Human Resources Information Systems is a strong asset
- Knowledge of the aviation industry is an asset
