Principal Responsibilities:

With minimal direct supervision, delivers on aspects of the awards portfolio, governance support, and other administrative responsibilities and duties as required for an organization of the size and diversity.

Awards Portfolio Management
• Administration, coordination, and facilitation of all components of the awards portfolio. Deliver on all aspects of the administration, planning, processing, scheduling, and recognition and communication of awards
• Support the sponsorship of the awards portfolio
• Liaison with Directors of Awards in the constituent societies, subject divisions, and other award stakeholders
• Support and work in conjunction with staff and volunteers for programming relevant to the awards portfolio
• Ensure accuracy and currency of award content on the website
• Respond to inquiries regarding the awards programs
• Contribute to volunteer experience improvements as part of the awards process or on boards and committees
• Facilitate strategic initiatives by advancing special projects

Governance Support
• Provide administrative support to the governance for Board of Director and Board committee meetings
• Draft agendas, collect and distribute meeting materials
• Attend all meetings, recording, and distribution of meeting minutes
• Maintain Board of Directors Policy Manual and Orientation binders
• Assist with documentation and preparation of Annual Reports and Annual Meetings of Members

Qualifications:
• Effectively communicating across a large spectrum of training, experience, position, stature, and cultures among university faculty and administration, government, industry
• Proven ability to anticipate, identify, assess, and develop solutions and improvements to workflow and business tools to meet objectives
• Demonstrated savviness in technology (software)
• Experience in project management with organization/time management skills
• Strong interpersonal, analytical, written, and oral communication skills
• Ability to manage multiple projects and priorities independently and efficiently with attention to detail
• Ability to meet agreed-upon deadlines and deliver results in a dynamic and diverse environment
• Ability to work independently and in a team setting
• Superior customer service acumen

• Proficient in Microsoft suite of products (Word, Excel, PowerPoint, Outlook)

Location
• Ottawa (temporarily remote)

Schedule / Work-Life Balance
• Full-time (term); 35 hours per week

• Flexible working hours with leadership pre-approval; arrangements can be made on a one-off basis and/or agree upon a structured alternate work arrangement;

• Any arrangements will be based on business needs and dependant upon the successful candidate’s experience and qualifications.
