Description:

Staffmax is currently assisting our client in Winnipeg, MB in the search for an experienced Executive Administrative Assistant. This is a pivotal role that involves coordinating and prioritizing various administrative activities to support the Executive Director's office. The Executive Administrative Assistant may also oversee the day-to-day tasks of secretarial and administrative staff, providing guidance and direction as needed.

Location: St. Boniface
Hours: Monday to Friday 8:00am to 4:30pm
Wage: TBD
Term: ASAP for 1-3 Months 

Duties & Responsibilities:

In this multifaceted role, your responsibilities will include but are not limited to:

  • Organizing and prioritizing administrative activities for the Executive Director, exercising judgment in managing inquiries and messages.
  • Managing the Executive Director's appointment calendar, scheduling meetings, and ensuring required facilities and resources are prepared.
  • Producing various types of correspondence, including highly confidential documents, reports, and routine communications.
  • Interacting with officials, senior managers, and external stakeholders, representing the Executive Director's office professionally.
  • Assisting in the preparation of financial reports and budget-related tasks.
  • Participating in meetings and committees, including taking and distributing minutes and preparing meeting materials.
  • Maintaining effective filing systems and office procedures for streamlined operations.
  • Acting as a receptionist, handling mail, travel arrangements, office supplies, and requisitions.

Qualifications & Skills:

We're seeking a candidate with the following qualifications and skills:

  • A minimum of four (4) years of secretarial and administrative experience, ideally within a healthcare organization supporting an Executive.
  • Strong organizational and communication skills, both written and verbal.
  • Proficiency in keyboarding (65 wpm), and familiarity with shorthand/speedwriting or note-taking on a laptop.
  • Experience with dictation equipment and essential office machinery.
  • Ability to handle confidential information, work independently, and meet deadlines.
  • Previous supervisory experience is preferred.
  • Mathematical aptitude and a mature, professional demeanor.
  • Strong interpersonal skills and the ability to adapt to changing situations.
