Reporting directly to the Chief Executive Officer (CEO), the Executive Admirative Assistant will handle a broad scope of administrative tasks. Many of which will be of a confidential nature to ensure the effective operation of the executive office. The incumbent will work closely with, and provide assistance to other senior management staff and work together with support staff as needed.

This role will begin on a temporary basis and will turn into a permanent, Executive Assistant role for the right candidate.

The successful candidate will be required to rely on proven professional skills, initiative, discretion, and judgement to add value to the executive office and the organization. Responsibilities include but not limited to the following job duties:

  • Maintaining and proactively organizing complex calendars, organizing meetings and conference calls, ensuring Senior Management has all of the relevant information prior to meetings.
  • Booking travel to ensure effective planning of time and resources including scheduling of corporate jet;
  • Managing, receiving, and organizing emails for the President, using the judgement of sensitivity to the executive officer’s priorities.
  • Completing expense reports and coordinating with the management team on expenses and invoice approvals.
  • Composing and/or preparing presentations, memorandums, correspondence and reports, frequently of confidential content.
  • Assisting in the executive reporting process, including document preparation and collection across companies and departments.
  • Planning events and large meetings, including management of Winnipeg Jets/Skybox bookings.
  • Duties & responsibilities directly relating to personal matters for the President, including booking travel, meetings, organization of schedules and other related personal requests.
  • Handling of sensitive and confidential information and a thorough understanding of protocol, professionalism and the nature of the executive level office.
  • Delegating basic administrative duties to the Administrative Assistant, including but not limited to ordering supplies, maintaining boardroom and common areas, restocking of materials, and other entry level responsibilities with oversite by the EA.
  • Other duties shall be assigned as required.

Skills and Abilities:

  • Post-Secondary Diploma in Business Administration, or relevant discipline, required.
  • Secondary School Diploma required.
  • 5-7 years' experience in an Executive Administrative role preferred.
  • Strong knowledge of office procedures and practices.
  • Keen attention to details.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point).
  • Resourceful and flexible.
  • Proven organizational and time management skills.

Job Types: Full-time, Temporary, Permanent

Salary: $21.15-$26.00 per hour
