Hours: 35 hours per week
Hourly Rate: $25 – $30 per hour (based on experience)

Staffmax is hiring on behalf of one of our clients for an experienced and organized Executive Assistant to provide high-level administrative support to the Finance Department and the Board. The successful candidate will be responsible for managing meetings, preparing documentation, coordinating events, and ensuring the smooth operation of departmental and board activities.


Key Responsibilities:

  • Develop agendas, materials, and minutes for Divisional and Board Meetings in consultation with Senior Administration.

  • Compile, maintain, and file all board and department documents, ensuring historical records and archived materials are properly stored according to policy.

  • Organize and coordinate meetings, schedule appointments, and provide administrative support for the Finance Department.

  • Draft correspondence for the Finance Department and the Board.

  • Serve as the initial administrative contact for finance and board-related matters and procedural issues.

  • Organize and facilitate workshops, meetings, public forums, and employee or student events and celebrations.

  • Assist in the preparation of the annual budget process.

  • Research, draft, update, and maintain policies, operational procedures, and organizational by-laws.

  • Manage conference registrations, reservations, and accommodations for Board members.

  • Update and maintain contracts and related documentation.

  • Assist with bank reconciliations, Board awards, grant payments, and maintain insurance certificates.

  • Administer parking for the division, including collection of related fees.

  • Act as back-up for the Senior Executive Assistant.

  • Perform other duties as assigned.


Qualifications:

  • College Diploma in Business Administration or a related discipline.

  • Additional training in accounting is an asset.

  • Proficiency in MS Office Suite (Word, Excel, Outlook).

  • Experience with financial accounting software is an advantage (ability to generate reports and access information).

  • Strong organizational skills, attention to detail, and the ability to handle confidential information with discretion.
