Position Overview – Rental Assistant
Position: Rental Assistant
Location: Crescent Street, Montréal, QC
Reports to: Senior Leasing Manager & Senior Director
Supports: Senior Rental Manager & Senior Director
Salary: $60,000 – $70,000
Role Summary:
Provide administrative and operational support to the leasing team, ensuring rental platforms, documentation, and communications are accurate and up to date. Collaborate with internal teams including finance, legal, marketing, and property management.
Key Responsibilities
Platform & Data Management:

Keep rental platforms updated (Altus InSite, LoopNet, CoStar, website, other relevant platforms)

Maintain up-to-date vacancy plans and leasing pipeline documentation

Develop and distribute availability lists to brokers

Maintain broker database accuracy across Montreal, Quebec, Ottawa, and Western Canada
Administrative & Coordination Tasks:

Draft rental proposals, letters of intent, and LNE forms as directed

Enter rental data into the annual budget

Prepare presentations for management and leasing committees

Manage rental email inbox and screen calls
-
Schedule meetings and client visits
-
Coordinate documentation flow with legal and finance teams
-
Process invoices and prepare purchase orders (space plans, commissions, etc.)

Follow up on MERX and SEAO for relevant space inquiries

Liaise with internal teams: property management, marketing, legal, accounting, finance

Requirements & Skills
Experience & Technical Skills:

Commercial Real Estate experience

Bilingual in English and French (spoken and written)

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
