Must hold a Reliability Security Clearance 

Requirements and Acceptance Criteria:
  • Temp tasks and technical specifications may include, but are not limited to, the following:
  • Making travel requests and preparing expense reports using our travel system.
  • Organize meetings and/or events, including room bookings.
  • Attend meetings, take, and transcribe the minutes, note actions, circulate minutes for comments and approval, track follow up actions and commitments.
  • Scheduling meetings, collaborate with external or internal administrative colleagues to manage scheduling conflicts as needed.
  • Manage team calendars: Scheduling meetings, collaborate with external or internal administrative colleagues to manage scheduling conflicts as needed.
  • Proof-read; ensure proper document formatting, spelling and grammar.
  • Proof-read for approval: ensure cost coding is appropriately reflected in approval documentation. Ensure recommender has recommended.
  • Cost out office supplies, get approvals, order, receive, store or distribute. Use SAP to record the purchase, attach supporting documents, get approvals, etc.
  • Data entry to update tracking log in Excel, track documents as needed.
  • Complete forms, if needed.
  • Other related administrative and financial activities and tasks that may be required but not listed.
  • Arrange conference calls. Schedule video calls with MS Teams, connect participants, etc.

  • Delivery of reliable and responsible administrative and financial support services.
  • Timely and accurate actions, properly handled and completed logistics.
  • Organized, up-to-date, quality and readily available information as expected,
  • Establish working relationships with staff throughout the organization.
  • Accuracy in documentation produced,

Skills/ Qualifications
  • 12 months relevant experience in a business environment within the last six months
  • Providing administrative support to executives, VPs CEO, or management within the last six months
  • Above average proficiency in the use of:
  • Microsoft Office
  • GCDocs
  • SAP/IRIS
  • GBT travel system
  • application of the National Joint Council or Treasury Board travel directive
  • Preference will be given to resources that have worked with the federal government previously.
  • Excellent time management and planning skills.
