Description:

Staffmax is looking for an experienced Administrative Assistant with strong client service skills to join our team. As an Administrative Assistant in Calgary, AB. You will provide support to our clients and help us maintain a high level of service.

Hours: Monday to Friday 8:00am to 4:00pm
Term: April 3rd, 2023 to March 1st, 2024

Requirements:

  • Strong attention to detail: able to catch errors without being prompted
  • Strong multi-tasking skills: able to handle multiple project requirements while maintaining focus
  • Excellent communication skills, both oral and written
  • Experience with MS Office (Word and Excel)
  • Experience in booking travel for management and office staff
  • Ability to stand, lift, and reach to organize shelves and files

Responsibilities:

  • Process incoming mail and courier items, including opening, date stamping, and distributing incoming mail and receiving and recording courier deliveries
  • Determine if incoming mail/packages should be sent directly to the client or routed to the appropriate classifier for capture into CER information systems
  • Advise clients of the most cost-effective way of sending outgoing mail and courier packages and utilize postage machine to process outgoing mail
  • Use online systems to ship outgoing courier packages and provide tracking as necessary
  • Organize end-of-day mail/shipments for pick-up by Canada Post, FedEx, and/or other couriers
  • Keep abreast of upcoming mail outs and use proper judgment to complete bulk mail out requests
  • Update tracking tools in a timely manner to facilitate the collection of mail statistics and complete mail statistics every month
  • Process invoices, travel claims, and expense reports
  • Maintain a system for routing and tracking administrative reports and directories
  • Route and track items for review or signature, to and from the business unit office
  • Plan and organize documents for projects or studies and provide recommendations
  • Monitor supply agreements, contracts, task authorizations, and other procurement items for the business unit
  • Participate in meetings
  • Create and present a variety of weekly and monthly reports
  • Offer guidance and training to new personnel when requested
