Hours: Monday to Friday, 8:30 AM – 4:30 PM (½ hour unpaid lunch)

Duration: On-going, temporary 
Reports To: Director, Health Services – Allied Health

Job Summary:

We are seeking a detail-oriented and organized Medical Administrative Assistant with experience in a healthcare setting. The ideal candidate will have strong English communication skills (both oral and written), proficiency in handling confidential patient information, and experience working with databases, email, and computerized calendars.

Key Responsibilities:

  • Provide telephone and reception support, ensuring a professional and welcoming environment.

  • Process referrals and prioritize intake, ensuring timely and accurate documentation.

  • Schedule and coordinate patient appointments.

  • Prepare and mail patient waitlist letters.

  • Receive and distribute faxes, ensuring proper tracking and organization.

  • Provide administrative support to the Manager(s) of Health Services, including processing job postings and maintaining position control.

  • Register new hires for orientation sessions and maintain staffing records in SAP and/or ESP scheduling systems.

  • Update daily schedule changes and generate staffing reports as needed.

  • Coordinate appointment calendars for the Manager(s) of Health Services.

  • Perform other clerical duties as assigned.

Qualifications & Experience:

  • Minimum of two years of administrative experience, preferably in a healthcare setting.

  • Completion of Grade 12 education (Manitoba standards) required.

  • Successful completion of a recognized secretarial training program required.

  • A combination of relevant education and experience may be considered.

Skills & Competencies:

  • Strong English communication skills (both oral and written).

  • Excellent interpersonal, organizational, and decision-making skills.

  • Typing speed of at least 50 words per minute.

  • Knowledge of medical terminology (minimum pass mark of 75%).

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

  • Experience with SAP and/or ESP staff scheduling applications is an asset.

  • Preference will be given to applicants competent in an Indigenous language and/or those with knowledge of Indigenous customs, beliefs, and practices.

Physical Requirements:

  • Must be able to work in a high-volume environment and adapt to changing priorities efficiently.
