We are seeking for Medical Office Assistant/Receptionist. This is a Part Time Temporary to Permanent position.
Location: Toronto
Term: Temp to Perm
Hours: 22.5Hrs/Week
Pay rate: $20 to $20.11/Hr
Job Duties,
- Ensure that the building is open to the public in accordance with the office hours
- Receive, screen, and transfer phone calls and e-mail messages.
- Schedule client appointments in Electronic Medical Records (EMR) system
- Call clients to notify them of upcoming appointments as directed by the Director of Community Health Services.
- Register clients over the phone in EMR system in advance of their appointment, including completing all necessary consents and sociodemographic information.
- Book in-person interpretation as needed including American Sign Language interpreters
- Conduct general clerical tasks, including word processing, photocopying, faxing, filing, etc. as assigned, or directed by the Director of Community Health Services.
- Provide general secretarial support and administrative assistance for the Primary Health Care Team and the Director of Community Health Services
- Maintain condom supply as necessary in waiting room, exam rooms and client washrooms
- When opening the clinic ensure that all opening procedures are fulfilled
- When closing the clinic ensure that all closing procedures are fulfilled
- Ensure that the waiting area is neat and at an appropriate level of tidiness; execute infection control procedures as directed
- Update the Health Services answering service message
- Maintain and update clinical charts electronically including data entry and scanning of documents
- Participate in chart audits and the annual chart archive
- Provide clients with contraceptive supplies and medications according to agency policy and in compliance with regulatory dispensing requirements; provide compassionate stock according to PPT guidelines
- Provide in-person and telephone reception and information to clients, the general public and other visitors.
- Maintain a safe environment, ensuring client’s confidentiality and privacy is upheld
- Initiate crisis response procedures when necessary
- Implement document management and distribution systems and maintain inventory of necessary forms and supplies, including client resources and agency promotional materials
- Work proactively with the admin team to cover other positions on the team as needed
Qualification:
- Medical Office Administration Diploma
- Knowledge of (EMR) Electronic Medical Record.
Limitations:
If this person would open up and/or close up clinic on their own, they won’t during the training period, but eventually yes
