Staffmax is assisting our client in Winnipeg, MB for an Office Coordinator. This position starts ASAP!

Hours: Monday to Friday 8:00am to 4:30pm

Location: Winnipeg, MB

Salary: $45,000

Job Duties:

• Coordinate all employee onboarding activities including meeting with new hires on their first day, scheduling initial meetings with leaders and staff, arranging for required technology, user accounts, and building accesses, and oversee the completion of all required paperwork.

• Develop and execute plans and strategies to improve our employee onboarding program with a focus on delivering the best possible initial employee experience.

• Manage corporate communications regarding policy changes, staff notices, staff departures/arrivals, and staff, client, and vendor event invitations.

• Receive and respond to employee inquiries and requests regarding employee benefits, payroll, and other general inquiries.

• Coordinate office cleaning schedules and activities at all sites with our facilities management partner and develop schedules for staff to tidy kitchen and shared use areas.

• Manage our inventory of office supplies including taking orders from staff, replenish common supplies, ordering from vendors, and negotiate supplier services & agreements.

• Create staff surveys to gain insight and feedback on various employee topics and deliver results to the leadership team.

• Manage employee accesses including building access cards, health screenings, and corporate websites.

• Coordinate the development of a regular Employee Newsletter which includes meeting with leaders to gather content and meeting with marketing staff to create materials for distribution.

• Plan and coordinate corporate events such as town halls, staff meetings, staff parties, and employee celebrations.

• Sit on the social committee and perform duties as assigned by the committee, including ideation, planning, and execution of staff appreciation and team building events.

• Coordinate facilities and catering for staff & customer workshops and learning events.

• Assist the sales team with planning and execution of client and vendor events and webinars.

Requirements, Qualifications:

• A post-secondary degree, diploma, or certificate related to office administration.

• 3+ years experience as an office coordinator, office manager, or administrative assistant.

• Prior experience planning and executing corporate events.

• Prior experience coordinating and managing employee benefit plans.

• Excellent writing, communication, and presentation skills.

• Experience using the full suite of Microsoft Office 365 products, including Excel, PowerPoint, and Word.
