Position Summary

The Office Manager will perform all the duties of a Service Specialist as a priority, while also taking on additional operational and administrative responsibilities to ensure efficient business operations and exceptional customer service.


Key Responsibilities

Operational Duties

  • Assist staff with emergencies whenever possible.

  • Draft, revise, update, and implement operational and technical processes and procedures.

  • Oversee Service Specialist onboarding, training, feedback, and ongoing support.

  • Identify and resolve daily operational issues that impact service delivery.

  • Develop and maintain excellent customer relations, escalating issues according to contractual procedures.

  • Facilitate clear communication between Service Specialists and management.

Administrative Duties

  • Perform statistical analysis of operations to identify efficiency improvements and new opportunities.

  • Assist management with staff scheduling.

  • Prepare reports and documentation for clients and internal teams as requested.

  • Attend customer meetings, document key points, and communicate follow-up actions to the team.

  • Provide technical support for IT systems/network, liaising with external IT providers when necessary.

  • Assist in onboarding new customers, updating internal systems, and sharing necessary information with Service Specialists.

  • Support special projects and field installations as assigned by management.


Education & Experience

  • College diploma or university degree, or equivalent industry experience.

  • Experience in facility maintenance preferred.

  • Excellent verbal and written communication skills.

  • Working knowledge of French (speaking and comprehension).

  • Minimum 2 years’ experience in a customer service call centre environment.

  • Minimum 5 years’ experience in dispatching, scheduling, labour planning, and analysis for a service organization.

  • Minimum 5 years’ experience in building automation/HVAC monitoring or as a supervisor in a commercial setting.

  • Strong decision-making skills with the ability to provide clear direction.

  • Proficiency with computer-based applications, including MMS (preferred).

  • Ability to foster a positive work environment.

  • Adaptable to a fast-paced, changing business environment.

  • Proficient in Microsoft Office and Google Business tools.

  • Excellent organizational and time management skills.

  • Able to work independently while knowing when to seek guidance.

  • Strong motivational and leadership skills with the ability to supervise and direct a team effectively.
