The Payroll & Benefits Specialist is responsible for processing the company payroll, posting payroll entries, reconciling payroll-related accounts to the general ledger and year-end procedures.Responsible for the administration of the group insurance benefits plan and disability claim coordination with the insurers, as well as the company pension plans.
Remote Role Pay rate: $22-25/hr Term: 1 year contract Key Job Responsibilities: Payroll – 50% • Set up new employees, process changes, process terminations and request ROEs, and generate T4s. This position oversees payroll entries that are completed by the HR Administrator who provides support and backup. • Verify that all paperwork is received for new hires, employee changes and terminations (with appropriate signatures) • Transmit semi-monthly payroll and corresponding journal entries • Complete year end filing with CRA, Minister du Revenue, Ontario Health, Manitoba Payroll Tax • Complete WCB Annual statements, assessments and reconciliations • Fulfill audit requirements • Investigate and answer employee inquiries to ensure there is clarity for all parties • Provide strong customer service as it serves as the liaison between employees and third parties Benefit and Pension Administration – 30% • Administer group insurance benefits plan and company pension plan to employees • Create monthly benefit billing reports & processes payments • Distribute group benefit insurance information • Perform quarterly benefit and pension audits to payroll reports • Manage short & long-term disability claims (with employee, and insurer) • Investigate and answers employee inquiries • Works effectively with third party administrators and government agencies • Creates PA calculation for T4’s • Prepares pension remittances & reconciliations, including year end requirements for external consultants • Assists Corporate Controller with pension information/administration • Working with external consultants to manage various programs (i.e. RIAs, SERP) • Assists in the validation/audit of pension calculations to verify accuracy and quality • Processes authorization of payments and/or benefits Time Off Administration – 5% • Administer the time-off policies in WFN (including required reports, reconciliations and adjustments) • Investigate and respond to employee inquiries • Provide training to employees and managers on time-off entries • Process year-end payouts. General Administration – 5% • Maintain employee files which includes up-to-date paper and electronic filing which includes signed offer letters, change forms and letters, Resignation/Retirement letters. • Maintain all payroll and benefit information/resources (i.e. Holiday Calendar) that are found on the Intranest Invoicing and Purchase Orders – 5% • Request setup of new customer/vendor related to payroll, benefits and pension • Verify and process invoices, ensuring proper coding and timely payment to vendors • Prepare journal entries • Ensure proper coding for all payroll expenses Education/Experience • Educational equivalent to completion of college diploma • 3-5 years of payroll and benefits administration • Complete or working towards Canadian Payroll Program is an asset • Certificate/Diploma in Business Administration, Human Resources or related field would be an asset.
