Salary: $75,000 – $85,000 annually (no benefits)
Job Summary
We are seeking a highly organized and proactive Project Coordinator to support multiple projects within a fast-paced engineering and construction environment. This role will act as a key liaison between clients and project managers, ensuring projects are executed efficiently, on schedule, and within scope.
Key Responsibilities
- Coordinate and track multiple projects simultaneously.
- Receive project priorities from clients and communicate direction to project managers.
- Review project logistics to optimize scheduling and travel efficiencies.
- Collaborate with project managers to establish and maintain design and construction timelines.
- Assist in preparing and updating detailed project schedules.
- Understand construction sequencing and potential impacts on facility operations.
- Act as the main point of contact between clients and project managers for updates and communication.
- Lead and coordinate weekly internal meetings with project managers.
- Monitor design progress, site visits, and adherence to schedules.
- Coordinate pre-design activities, including base plan preparation and scope distribution to sub-consultants.
- Attend client meetings and prepare detailed meeting minutes.
- Track milestones, identify delays, and update schedules accordingly.
- Follow up with project managers on key deliverables and deadlines.
- Oversee quality control processes and ensure proper documentation.
- Coordinate contract administration activities during construction phases.
- Monitor tender results and assist in maintaining project budgets.
- Manage document control (RFIs, submittals, change orders) using Autodesk Construction Cloud.
- Track construction milestones and keep clients informed of progress.
- Prepare project close-out documentation and checklists.
- Identify risks or issues and escalate them appropriately.
Qualifications & Requirements
- Experience in engineering, consulting, architecture, or construction is an asset.
- Experience with project management or change management tools (e.g., Asana) is preferred.
- Strong communication skills (verbal, written, and interpersonal).
- Excellent organizational and multitasking abilities.
- Demonstrates initiative, confidence, and a proactive approach to problem-solving.
- Valid Class 5 driver’s license and access to a reliable vehicle is an asset.
