Description:
Staffmax is assisting our client in Winnipeg, MB for a Receptionist.  This position starts September 1st for 3 month term.  

Hours: Monday to Friday 8:00am to 4:30pm
Location: Winnipeg, MB
Wage: $15.00 to $17.00 per hour

Education:
Grade 12 Diploma plus a certificate from a recognized administrative program/course with an accredited training and/or educational institute

Professional Experience:
The successful candidate should have at least 3-year experience reception Ability to type 50 WPM Ability to work in a fast-paced environment


DUTIES AND RESPONSIBILITIES

Key Duties/ Responsibilities:
• Greet and welcome people to the Agency
• Allow access to building of people visiting the Agency
• Enquiring about the purpose of all visitors to the Agency
• Provide reception for collaterals coming to the building to work and or for meetings; for clients coming to see their social worker or for family visits with their children
• Answer and log telephone calls from the public, collaterals, staff, clients
• Ensure reception area, family rooms/visiting rooms are clean and provided with appropriate materials • Sanitize all visiting rooms in between family visits
• Maintain and update family/visiting rooms schedule
committee if issue arises
• Opening, date stamping, tracking, and distributing daily Canada Post and courier mail
• Receiving, printing, tracking, and distributing incoming fax documents
• Prepare outgoing courier package, interdepartmental mail, and all outgoing mail. Post at end of the day
• Manage and maintain visitors’ sign in book
• Ensure safety of office at end of business day and lock elevator (4:30pm) • Record in attendance book and tracking spreadsheet, whereabouts of staff, then sending to Management Team
• Track ordered office supplies and distributed supplies as received
• Maintain, manage, track all outgoing mail/cheques to be picked up from the office
• Maintain, update, and distribute internal staff list(s)
• Maintain confidentiality in all matters pertaining to the Agency and staff
• Other administrative tasks as it relates to supporting the unit to provide services to families and children


COMPETENCIES:
• Previous reception/administrative experience providing reception duties including dealing with the public, clients, collaterals, and confidential information
• Personable, pleasant, professional, courteous manner
• Ability to work in a fast-paced environment both independently and as part of a team
• Strong interpersonal skills • Ability to meet/exceed deadlines with excellent time management
• Excellent oral and written communication skills
• Ability to multi-task and handle many incoming calls and in person requests at once
• Efficient and accurate data-entry skills
• Exceptional attention to detail
• Computer literacy with Microsoft Office (Outlook, Excel, Word etc.)
• Proven Multi-line phone or switchboard experience
