Description:

Real Estate Responsibilities:

  • Manage files from start to finish for residential sales, purchases, refinances, and new home construction
  • Prepare real estate and conveyancing documents, including transfers, caveats, mortgages, and refinancing documents
  • Conduct and review searches, including online searches through The Property Registry (TPR) / Land Titles Office
  • Analyze and draft trust conditions for lawyer review
  • Maintain and organize closing schedules
  • Handle incoming and outgoing funds, including calculating closing costs and mortgage financing requirements
  • Open files and conduct conflict checks
  • Prepare Statements of Account as required
  • Communicate with clients and act as a point of contact with financial institutions, brokers, and legal counsel
  • Prepare reports, including mortgage reports for lenders

Corporate Responsibilities:

  • Assist with corporate filings and formation documents (e.g., Articles of Incorporation, Annual Reports)
  • Maintain corporate records, minute books, and compliance calendars
  • Support due diligence for mergers, acquisitions, and other transactions
  • Prepare board resolutions, shareholder agreements, and related documents

Family Law Responsibilities:

  • Draft legal documents such as divorce applications, parenting plans, affidavits, and motions
  • Coordinate court filings, track deadlines, and manage case calendars
  • Communicate with clients regarding case updates and documentation requirements
  • Assist with trial preparation, discovery, and evidence organization
  • Handle sensitive matters with professionalism and discretion

Qualifications:

  • Minimum 1 year of office administration experience (legal experience is an asset)
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Strong attention to detail and organizational skills
  • Ability to work independently and take initiative
  • Excellent multitasking, problem-solving, and time management skills
  • Strong communication and client service abilities

Compensation & Details:

  • Salary: $60k - $75k
  • Hours: Full-time with some flexibility
