Position Overview

We are seeking a proactive and organized Service Admin Coordinator to support site management and ensure smooth operations at our Toronto property. This role requires strong customer service skills, excellent communication, and attention to detail for administrative and reporting tasks.


Key Responsibilities

Customer Service

  • Develop and maintain clear communication channels among site management, contractors, and tenants

  • Handle all telephone and walk-in inquiries professionally and courteously

  • Provide superior customer service to internal and external clients by understanding their needs

  • Promote a strong sense of community within the property

  • Respond to and resolve tenant complaints and concerns

  • Assist with booking contractor appointments and ensure work completion

  • Follow up with residents post-maintenance to ensure satisfaction and job completion

Administration and Reporting

  • Receive, sort, inspect, and stamp rent cheques for deposit

  • Maintain departmental filing systems

  • Use the property management system to record transactions and generate reports

  • Welcome new residents and coordinate orientation with the Leasing Team

  • Manage incoming and outgoing mail, including courier services

  • Keep the office area tidy and organized

  • Issue and track Purchase Orders

  • Manage the parking lot operation, including spot assignments and monthly audits

  • Review security reports and escalate issues as needed

  • Control issuance and deletion of building security access fobs

  • Maintain and update intercom records

  • Monitor office stationery and supply inventory

  • Maintain suite key records
