Staffmax Staffing & Recruiting is working with our clients to urgently hire an experienced Service Writer/Administrator to join their Service Department in Winnipeg, MB.

 The purpose of our Service Writer/Administrator is to provide administrative support to the service department. This role is responsible for the administration of scheduling, coordinating, and documenting a broad spectrum of preventative, routine, repair, and emergency maintenance activities. Also they will be responsible for the maintain, communicating, tracking and administration of warranty claims.

Duties & Responsibilities:

  • Warranty data entry
  • Service calls for residential – book, schedules, follow up with customers with team.
  • Scheduling major deliveries for Construction and Spas
  • Basic trouble shooting.
  • Spa, pool and/or Hot tub warranty
  • Follow up on outstanding service orders, appointments, etc. Including invoicing, cancelled services, not completed services, etc.
  • Commercial Invoicing
  • Support and administer Maintenance contract invoicing
  • Provide administrative support to Service Advisor and Technicians
  • Maintain accurate service and repair records.
  • Contact and receive service calls for residential service calls. Including booking, troubleshooting, entering in all relative information for the Service Technician as well as effectively communicate to Service Advisor and Technicians.
  • Accurately entering and tracking all warranty data for residential and commercial customers.
  • Support Service Advisor in the warranty claim process.
  • Scheduling with all required teams and customer major deliveries.
  • Track and follow up with any outstanding service orders, payments, cancelled or rescheduled appointments. This includes but not limited to creating and sending out invoicing, rescheduling cancelled service appointments and rescheduling appointments for uncompleted services.
  • Support, track, maintain and communicate to the correct departments Maintenance contract invoicing process. This includes creating invoices, sending to customer, collecting payment, processing payments, entering information into system.
  • Perform work tasks in a safe manner in accordance with Company policies and procedures.
  • Proactively take action to improve safety within the service area.
  • Uses time in effective and productive manner in support of Company goals and objectives
  • Keep records of inquiries to be able to reference then later.
  • Work effectively with department managers and other team members to resolve customer complaints.
  • Provide feedback to Operations Manager to help improve service and business processes.
  • Learn about the products inside and out to be able to properly recommend products correctly.
  • Maintain an orderly workflow according to priorities.
  • Assist with special projects as required.
  • Maintain a clean and safe work environment.
  • Other duties as assigned as necessary, based on business requirements.

  • A minimum of 3 years of proven experience in a service, administration and/or customer service roles.
  • High level of self-motivation with ability to take initiative.
  • Experience within the Pool and Spa industry considered an asset.

 

Working Conditions:

  • Ability to lift up to 50 lbs.
  • Repetitive work.
  • Overtime may be required.
  • Environment can be noisy at times.  

Salary/Benefits:

  • $18-$20/per hour
