Condominium Property Manager opportunity in South Winnipeg.
On behalf of our client, Southwood Green Condominium #4, we are currently recruiting for a Condominium Property Manager due to retirement. This role is 25-30 hours a week, 97 units, and working on location in South Winnipeg.

Duties:

The Property Manager retained to perform operational requirements for Southwood Green shall be able to successfully execute the following duties in compliance with the Corporation’s Declaration, By-Laws and Rules and Regulations and with the Manitoba Condominium Act.
 
  • Enforce terms established in the Declaration, By-Laws and Rules and Regulations of the Corporation
  • Ensure compliance by the Corporation with The Condominium Act (Manitoba)

Administration Duties:
  • Ensure compliance by the Corporation with the provisions of the federal Personal Information Protection and Electronic Documents Act (PIPEDA)
  • Regular review of governing Declaration, By-Laws and Rules and Regulations of the Corporation, with recommendations for improvement based on best practices demonstrated by similar communities
  • Advise the Board of any unauthorized unit modifications and/ or infractions and take appropriate actions in accordance with the Declaration, By-Laws and Rules and Regulations of the Corporation
  • Regular review of all contracts and significant vendors to ensure competitive pricing and that all contract terms are being delivered
  • In-person meetings with primary vendors to establish a working relationship going forward and to review the scope of work
  • Create working and unit files for each address in the community
  • Hire and supervise employees required for the administration, maintenance and operation of the Corporation. Employees are paid at the expense of the Corporation
  • Establish a performance review for employees and provide regular, meaningful feedback to employees and inform the Board of these discussions
  • Manage complaints on behalf of the Board and homeowners
  • Manage the responsibilities for common element utilities and services
  • Maintain bank accounts, books, and records to the trial balance
  • Prepare monthly statements for the Board
  • Pay bills in a timely fashion
  • Attend Board meetings and Annual General Meeting

Bookkeeping and Accounting:
  • In-depth review of the adequacy of the Corporation's Reserve Fund to meet its financial, maintenance and operation requirements
  • Prepare annual budgets and the Corporation's Reserve Fund Financial Plan
  • Provide full accounting services, including expenses, payroll, receipts and disbursements pursuant to current legislation
  • Analyze Reserve accounts to assure interest returns are being maximized
  • Review of the Corporation’s financial position versus the current budget and provide
  • recommendations
  • Evaluation of the current cash position of the Association
  • Collect condo fees, parking fees, penalty fees and other monies owing to the Corporation
  • Actively pursue delinquencies and collect penalty fees
  • Transport bank deposits for the Corporation as required

Maintenance:
  • Coverage of lawn, pool and minor maintenance if the Maintenance staff are on holiday or absent.
  •  Regularly conduct thorough site inspections to become intimately familiar with the community, identify immediate maintenance requirements, and respond to violation issues
  • Evaluation of the current condition of the landscaping, asphalt, lights, and other maintained components in the complex
  • Report major deficiencies to the Board and provide recommendations for action
  • Arrange for the correction of minor deficiencies and manage emergencies appropriately
  • Tender for maintenance contractors, supervision of work and approval of invoices for payment
  • Work with the maintenance supervisor when required to assist in maintenance duties
  • Perform maintenance supervisor duties when the same is unavailable
  • Be on-call, as required, per operational requirements and terms of employment
  • Respond to emergency calls from any source
