Description:

The Admin Assistant/Office Management role provides comprehensive administrative and operational support to the Director of Finance, People, and Corporate Services and the College as a whole. The position ensures smooth office operations, supports board and committee activities, manages communications and stakeholder relations, and contributes to project management and process improvements.

Key Responsibilities:

Program Support – Office Management:

  • Maintain office operations, equipment, supplies, and premises

  • Oversee mail, phone, and visitor management

  • Assist with office projects and document updates

Support to Director of Finance, People, and Corporate Services:

  • Manage calendar, meetings, travel, and correspondence

  • Track and reconcile financial records and expense reports

  • Assist with committees, meetings, and confidential documentation

Board, Committee, and Working Group Support:

  • Maintain participant data and payroll for non-staff

  • Manage catering, track attendance, and prepare committee packages

Communications / Stakeholder Relations:

  • Draft routine correspondence and ensure timely, accurate information flow

  • Build cooperative relationships with internal and external stakeholders

Project Management:

  • Participate in ongoing and special projects, contributing to planning and achieving milestones

Teamwork & Collaboration:

  • Support colleagues and cross-program initiatives

  • Identify opportunities for process improvements

Required Education / Experience:

  • Minimum 2 years’ administrative support experience

Required Competencies:

  • Strong organizational, time management, and problem-solving skills

  • Excellent verbal and written communication

  • Customer service-oriented with a proactive, independent approach

  • Knowledge of confidentiality and legislative frameworks

  • Proficient in MS Word, Excel, PowerPoint; strong data entry skills

  • Ability to lift office supplies

Preferred Skills:

  • Experience supporting boards, councils, or committees

  • Experience in not-for-profit organizations

  • Fluency in French is an asset
