Executive Assistant
Part-Time Contract | Remote (Work from Home)
4 hours per day | 5 days per week
Our client in the GTA is looking for a dependable, organized, and caring professional to join our team as an Executive Assistant. This part-time, remote role is perfect for someone with experience supporting executives and Boards who wants to contribute their skills in a meaningful way—helping guide our organization while maintaining flexibility and balance.
You’ll play a key role in supporting our President & CEO, Board of Directors, and Committees, ensuring smooth operations, strong governance, and accurate record keeping, all while making a positive impact in our community.
- Term: January 2026 – March 2027
- Maternity leave coverage
- $28-34 per hour, depending on your experience
- Morning or afternoon availability (no weekends, no evenings), flexibility to attend in-office meetings with notice
What You’ll Do
Board & Committee Support
- Schedule and coordinate Board and Committee meetings, including virtual meeting logistics
- Prepare, organize, and distribute Board agendas, workplans, and supporting documents
- Compile and proof electronic Board binders
- Draft Board and Committee minutes and manage approvals and signatures
- Keep corporate and Board records up to date in line with governance requirements
- Track Director attendance
- Assist the Director with onboarding and Board portal training
- Prepare and manage Board surveys, and summarize the results
- Work closely with the CEO, Directors, staff, and external partners to support strong governance
CEO & Executive Support
- Provide thoughtful administrative support to the President & CEO
- Proofread and edit reports, correspondence, and presentations
- Compile data into easy-to-read reports, charts, and dashboards
- Maintain Board and corporate data in an organized, accessible way
- Assist with employee and member surveys, recruitment, and background checks
- Coordinate approvals, signatures, and renewals for third-party agreements
- Conduct research and prepare clear, actionable recommendations
Operations & Compliance
- Create and maintain administrative templates
- Follow regulatory and governance requirements
- Participate in compliance and governance training
What We’re Looking For
- 3+ years’ experience supporting executives and Boards
- Strong written and verbal communication, editing, and proofreading skills
- Good judgment and ability to handle confidential information with discretion
- Excellent organizational skills and attention to detail
- Friendly, collaborative, and service-oriented approach
- Independent, reliable, and accountable, with the ability to manage deadlines calmly
- Comfortable with Word, Excel, PowerPoint, Adobe tools, TEAMS and SurveyMonkey
- A commitment to learning and continuous improvement
- College diploma in Business Administration or relevant post-secondary education
Preferred:
- Governance Professional Accreditation (GPC) Asset
- Experience in insurance Asset
